Make UK collects, stores and processes personal information when you enter the Make UK Photography Competition. This notice explains what information we collect, why we use it, who we may share it with, how long we keep it and the rights available to you under UK data protection law
Who is responsible for your information?

Information we collect
The personal information we collect may include:
- Your name
- Email address
- Telephone number
- Postal address, where requested
- Company, school or college, where provided
- Age or date-of-birth information needed to confirm eligibility for an age-based entry level
- Details submitted as part of your competition entry
- Photographs, image titles and accompanying captions
- Information about people identifiable in submitted photographs, where applicable
- Any correspondence relating to your entry
How we use your information
We may use this information to:
- Administer the competition and process entries
- Verify eligibility and compliance with the competition terms and conditions
- Communicate with entrants about their entries and the competition
- Prepare entries for assessment and share relevant material with the judging panel
- Contact shortlisted entrants and winners
- Announce and publicise winning, shortlisted or selected entries
- Produce competition-related marketing, PR, social media, publication, exhibition and event materials
- Showcase and promote UK manufacturing through competition-related activity
- Maintain appropriate records and respond to enquiries, complaints or legal obligations
Our lawful basis for processing
We process personal information where it is necessary for our legitimate interests in running, judging and promoting the competition, provided those interests are not overridden by your rights and interests. We may also process information where this is necessary to perform the competition terms and conditions, where you have given consent, or where we must comply with a legal obligation.
Where we rely on consent, you may withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out before consent was withdrawn.
Using ClickUp to manage entries
We use a third party programme, ClickUp, to collect and manage competition entries. Personal information submitted as part of an entry may therefore be processed and stored within the ClickUp platform for the purposes of administering the competition. Access should be limited to authorised individuals who need the information to deliver the competition.
Sharing your information
We may share relevant personal information and entry materials with:
- Members of the competition judging panel
- Competition partners and suppliers involved in delivering, promoting or exhibiting the competition
- Service providers that process information on our behalf, including ClickUp
- Professional advisers, regulators, law-enforcement bodies or other parties where disclosure is required or permitted by law
Where another organisation processes personal information on our behalf, it must handle the information securely and use it only for the agreed purposes. Judges and delivery partners should receive only the information needed for their role in the competition.
Use of photographs and entrant names
By entering the competition, you grant Make UK and its competition partners the rights described in the competition terms and conditions. Submitted images and, where appropriate, the entrant’s name may be used to promote the Make UK Photography Competition and UK manufacturing.
This may include use across websites, email, social media, PR, publications, exhibitions, events and other digital or printed materials for a period of five years from the competition closing date. Copyright remains with the photographer, subject to the permissions granted under the competition terms and conditions.
Entrants are responsible for ensuring that anyone identifiable in a submitted photograph has provided the permissions required by the competition terms and conditions.
International transfers
Some service providers may process personal information outside the UK. Where this happens, Make UK will ensure that an appropriate transfer mechanism and safeguards are in place as required by applicable data protection law.
How long we keep information
We will keep personal information only for as long as reasonably necessary to administer the competition, fulfil the purposes described in this notice, manage the permitted use of competition images and comply with legal, regulatory or record-keeping requirements.
Competition images and associated entrant names selected for promotional use may be retained and used for the five-year period described above. Other entry and administration information should be reviewed and securely deleted or anonymised when it is no longer needed.
Marketing
We will use personal information for competition-related communications and the purposes described in this notice. We will not use your information for unrelated marketing activities without obtaining any consent required by law.
Your data protection rights
Depending on the circumstances, you may have the right to:
- Request access to the personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Ask us to erase your information in certain circumstances
- Ask us to restrict how we use your information
- Object to processing based on legitimate interests
